Privacy policy of ValueApex

This privacy notice discloses the privacy practices for the website https://valueapex.com/, EAMic® web application, and EAMic® Mobile application for Android and iOS. The Service is provided by ValueApex (Shanghai) at no cost to end-users and is intended for use as is.

This page is used to inform website visitors and end-users regarding our policies regarding the collection, use, and disclosure of Personal Information if anyone decided to use our Service.

If you choose to use our Service, then you agree to the collection and use of information in relation to this policy. The Personal Information that we collect is used for providing and improving the Service. We will not use or share your information with anyone except as described in this Privacy Policy.

Who controls the collected data?

ValueApex is the only controller of personal information we collect for the use of our website and/or EAMic® and/or EAMic® Mobile. We are responsible for the processing of your personal data.

Nevertheless, to provide better service, EAMic®, and EAMic® Mobile use third-party services listed below that have their own privacy policies:

  • Baidu Tongji: this is used to understand the traffic usage and engagement on valueapex.com for pre-sales analyses purposes. Click here to open their privacy policy

  • SMS service: an end user’s phone number is shared with the SMS service provider J-Push when EAMic® need to send system notifications to him/her. This only applies when the customer asks for the service. Click here to view the privacy policy of J-Push.

  • To provide push notifications service, we make use of the following push SDKs or service. The specific SDK/service is displayed on the login page beside the app version number:

  • Andoid

    • Xiaomi push (default if no brand is specified). Please read their privacy policy here

  • iOS

  • Remarks:

    • Information related to push notification (push id, phone manufacturer, etc) are removed from the push server after 3 months of inactivity.

What data do we collect and why

In the context of the website, if you contact us through the contact form, we would collect only the information you would have submitted (i.e., your email, your name, your phone number, etc…). We will use your information to respond to you regarding the reason you contacted us.

For EAMic® and EAMic® Mobile, we would collect your employee code, your name, your phone number, your email address, and your password (in hashed form). This information will be necessary to identify you among other EAMic® and EAMic@ Mobile users when you log in to EAMic® as well as in the records such as work orders. The account is the same between EAMic® and EAMic® Mobile and is created either by ValueApex during the implementation project or by the customer’s system administrator.

EAMic® Mobile allows users to attach pictures, short videos and other files to request or assist in service. The app will ask for permission to access your camera, microphone, gallery, and storage when such needs arise. If you deny the request, you won’t be able to take pictures or videos with the app or upload files directly from your mobile phone to the system.

When a user wants to open files (documents, images, videos, ...) from EAMic® Mobile, it needs to read the list of applications in the user's mobile phone in order to find and launch the suitable application for the file.

The mobile app utilises the accelerometers and gyroscopes embedded in the user’s phone to flip the screen.

If your company chooses to use the Risk module of EAMic®, personal information collected in the system may include education and training records.

In order to receive push notifications, EAMic® Mobile needs to have access to the device's identifiers such as Android ID.

The nature of our product requires true identity from users during the whole course of their activities. Thus, we also need to collect the login event at EAMic® and EAMic® Mobile whether it is successful or not, including your IP and mobile device model. From Mobile 2 on, the record of the device model is also used for troubleshooting and push notifications.

In cases where customers require SSO (single sign-on) to EAMic® or EAMic® Mobile by DingTalk, WeChat Work or other applications, the unique user identifiers used by these will also be collected and used by our products.

Cookies

Cookies are files with a small amount of data that are commonly used as anonymous unique identifiers. These are sent to your browser from the websites that you visit and are stored on your device's internal memory.

Cookies are used in EAMic® to store a few personal preferences to improve your experience (i.e., the language used in EAMic®, the background of the homepage, the default number of records to display on some pages, etc…). However, EAMic@ may use third-party code and libraries that use “cookies” to collect information and improve their services. In any case, these cookies would be anonymous.

Where is the data stored?

For SaaS customers (using valueapex.com or *.valueapex.com): In servers managed by ValueApex and hosted by Aliyun (Click here to read Aliyun's privacy policy).

On-premise and off-site backups of SaaS data: Our backup copies are stored in Huawei Cloud as well as Aliyun, servers of which are physically located in different cities.——Click here to read the privacy policy of Huawei Cloud.

For purchase customers: On servers owned and managed by their own companies. ValueApex might have access to these servers to provide post-sales support, depending on customers’ policies.

Data retention

Personal information is kept as long as the EAMic account exists in the database of our customers. After the account is deleted, the email, phone number, and password are deleted. Employee code and name are kept for the history of transactions in records (i.e., work orders, requests, spare parts issues, …)

Business transfer

We will not share or sell your personal information to any third party.

Marketing

We do not send any marketing information to individual EAMic® users.

Security

Several security measures are implemented to keep your personal information safe when you use our Services. Especially we implemented firewalls, communication encryption, databases access authorization controls, and 3-2-1 backups. In the event that any information under our control is compromised as a result of a breach of security, we will take reasonable steps to investigate the situation and, where appropriate, notify those individuals whose information may have been compromised and take other steps, in accordance with any applicable laws and regulations.

Account Management

Account management is the responsibility of the client organisations that subscribe to or purchase EAMic. Only accounts with admin access are able to create, modify, activate/deactivate or delete an account.

If you no longer work for your company or hold a position that requires you to keep the account, please contact your supervisor or system administrator to have your account deleted. If such a request is submitted to VA’s project or support people, we will perform the task within a working day after validating the identity of the account user.

Changes to this privacy policy

We may update our Privacy Policy from time to time, so please check this page periodically for changes. Any such changes will be effective immediately upon posting on this page. This Privacy Policy was last updated on November 27th, 2023.
